Job Overview
The Philanthropic Services Team provides operational and client support across day-to-day operations as well as special and rapid response services to a variety of Foundation clients.
Reporting to the Director, Philanthropic Services, the Associate is responsible for providing operational and client services support across developmental activities of C3 and C4 funds, including the proposal and reporting process and contribution management. Additionally, this role supports client inquiries and serves as a vital point of communication with donors, funders, and fund managers. This position will require excellent customer service skills and must maintain a working understanding of the Foundation’s operational procedures and serve as a vital point of contact and  communication with fund managers, individual donors, and grantees.
 
Responsibilities: (including, but not limited to)

Client Service Support and Inquiry Management
  • Triage and respond to client service inquiries related to incoming contributions, reporting and ACH information.
  • Support administrative requests for data, form requests, and administrative audit work
  • Support of team shared inboxes
Grant Proposals + Reports 
  • Accessing funder portals and downloading proposal and reporting needs.
  • Converting required documents for easy completion and submission by clients.
  • Reviewing submitted items for proper completion, including word counts and character limits.
  • Updating relevant internal trackers to support Development Specialist with deadlines and compliance reviews.
  • Delivery, execution and filing of grant materials in appropriate client folders for future needs.
Incoming Grants and Contributions
  • Receive and book checks and electronic cash contributions
  • Troubleshoot and track contribution sources to ensure correct attributions, as necessary
  • Maintain and update records for annual audit
  • Review all tax letters for mailing and posting
Minimum Requirements
  • 1 – 2 years of related experience
  • Dedication to the mission and values of ACF
  • Ability to navigate and manage systems and processes independently, efficiently, and effectively
  • Ability to communicate clearly and concisely across different medium
  • Demonstrates excellent active listening skills
  • Ability to discern the correct communication for the audience
  • Leads with curiosity and asks questions early and often to anticipate next steps and outcomes
  • Excellent client services demonstrated through prompt responses and solutions-oriented approach
  • Demonstrates strong judgement on when to escalate concerns/challenge to the appropriate channel in a timely manner
  • Proactive problem solver who enjoys troubleshooting and surfacing creative solutions to achieve desired outcomes
  • Excellent time management skills
  • Ability to quickly learn new technology and work across multiple technology solutions and tools
  • Outstanding attention to detail
 
SALARY & BENEFITS
The starting salary for this position is $65,000 - $75,000 commensurate with experience.  This position will be remotely based, but will require domestic travel, as needed, including the Foundation’s retreats.  Generous benefits package that includes 100% employer-paid health insurance (medical, dental, and vision), 401k match, PTO and leave policies, professional development funds, and remote work stipend.
