JOB OVERVIEW 

ACF is seeking a Grants Associate to join our Grantmaking team. The Grants Associate will play a vital role in supporting the efficient operations of the Grants Team, focusing on managing client communications, maintaining data workflows, and ensuring seamless execution of assigned tasks. This role involves overseeing a high-volume email inbox, managing outgoing correspondence, and maintaining strong client relationships through personalized service. The Associate will assist with client account setups, data entry, report generation, and bulk grant uploads, ensuring tasks are completed accurately and on time. With a focus on client satisfaction and operational efficiency, the ideal candidate will have strong organizational skills, a keen attention to detail, and the ability to manage multiple priorities simultaneously. Additionally, the associate will leverage their technical expertise to guide clients through software platform walkthroughs and support database management efforts. 

RESPONSIBILITIES

Client Communication and Support  

  • Serve as a primary point of contact for clients, delivering timely, and solutions-focused responses to inquiries. 

  • Manage high-volume shared inboxes, triaging and prioritizing requests to ensure responsive, values aligned and consistent client service. 

  • Build and maintain strong, long-term client relationships through personalized engagement and high touch service. 

  • Anticipate client needs, troubleshoot challenges, and identify opportunities to enhance overall client service experience.  

  • Support administrative requests, including data requests, form completion and audit-related administrative work. 

  • Assist clients with account setup, grant program enrollment and onboarding to grantmaking programs and software platforms. 

  • Provide technical guidance and software platform walkthrough, ensuring clients feel confident navigating tools and processes.  

Data and Workflow Management 

  • Perform accurate data entry, validation, and maintain up-to-date records in the grants management system. 

  • Maintain organized, up-to-date records to support compliance, reporting, and operational efficiency.  

  • Support the Grants team with data workflows to ensure timely completion of tasks and processes. 

  • Identify opportunities to improve data quality, documentation, and workflow efficiency.  

Team Operations 

  • Support the management of outgoing correspondence including ACH enrollment, outreach and grant award notification, with attention to clarity and client experience.   

  • Perform daily, weekly, or monthly repeatable tasks with high efficiency and attention to detail, ensuring consistent quality and timely completion: including data entry, report generation, and bulk grant uploads.  

  • Codify best practices and procedures around client engagement and correspondence.  

  • Work closely with other members of the Grants team to execute weekly grant runs, strengthen client relationship management, and engage in grant program development.  

MINIMUM REQUIREMENTS  

  • Dedication to the ACF mission and values.

  • Strong client services skills – responsive, able to anticipate concerns, ability to problem solve. 

  • Ability to joyfully manage several threads of communication and correspondence with internal and external stakeholders. 

  • Strong written and verbal communication skills, with an ability to present complex information in a clear and concise manner, with a client-focused approach.  

  • Detail-oriented with strong organizational skills and the ability to manage multiple tasks and deadlines simultaneously.  

  • Demonstrate technical expertise in guiding clients through software platform walkthroughs. 

  • Familiarity with database organization and management, data entry and verification, and experience with different database software. 

  • Ability to effectively and quickly learn and work across different software platforms.  

  • Ability to work independently and effectively in a virtual environment. 

  • Ability to work with a remote team, including regular computer, phone, internet, and video conferencing access. 

PREFERRED QUALIFICATIONS  

  • Experience with databases, experience with Airtable a plus.  

  • Knowledge of Donor Advised Fund compliance and IRS regulations.  

SALARY & BENEFITS  

The starting salary for this position is $64,000 and is commensurate with experience. This position will be remotely based, but will require domestic travel, as needed, including the Foundation’s retreats.
