JOB OVERVIEW

The Human Resources Associate is a key administrative and operational support role within the ACF People and Culture Team. This position is responsible for managing HR administrative tasks, coordinating recruitment, supporting the on/offboarding processes and payroll and benefits functions, managing HR inboxes and correspondence, and providing excellent client interactions. The HR Associate plays a supporting role in ensuring policies and procedures are executed effectively and in full compliance with ACF’s policies and applicable labor laws.  

With a people-centered approach, the HR Associate emphasizes care while delivering effective, high-quality service that meets the needs of ACF’s remote workforce. As a key point of contact for internal team members, the Associate must be committed to providing excellent customer service. They must approach problem-solving with curiosity and bring a joyful, creative mindset to navigating complexity.  

RESPONSIBILITIES 

Administrative Support 

  • Maintain accurate and up to date employee files, ensuring confidentiality. Ensure all employee records comply with legal requirements. 

  • Assist with administrative tasks related to training and development activities. Collaborate with other members of the People and Culture team to coordinate and deliver required trainings and track attendance. 

  • Schedule and support HR meetings, including preparing agendas, notes and necessary follow up. 

  • Ensure internal HR trackers stay up to date and follow up items are completed in a timely manner. 

  • Provide the People and Culture team with administrative support as needed. 

  • Support internal events and trainings as needed.  

Recruitment 

  • Assist with administrative responsibilities throughout the recruitment process, ensuring smooth and efficient operations.  

  • Manage responding to all applicants through our Applicant Tracking System. 

  • Post job openings on internal and external platforms. Help monitor all open positions and coordination of website postings to ensure timely and accurate updates. 

  • Track applicants throughout the recruitment process to maintain an up-to-date candidate pipeline.  

  • Schedule interviews with applicants and hiring panels, ensuring clear communications and timely scheduling.   

  • Prepare all interview materials for hiring panel materials prior to interviews, including interview questions, scoring matrix, candidate profiles, work product exercises, etc.  

  • Take notes during interviews to support hiring panel. Conduct reference checks and maintain detailed documentation. 

  • Maintain confidentiality and professionalism throughout the hiring process to protect candidate information. 

Onboarding 

  • Assist in preparing offer letters and new hire paperwork. 

  • Coordinate pre-onboarding communication with new hires to provide essential information and answer initial questions. Assist in coordinating the new hire onboarding schedule with guidance from hiring manager. 

  • Submit and track IT procurement requests to ensure new hires have necessary equipment, systems and tools before their start date.  

  • Prepare welcome kits and orientation materials for new hires.  

  • Deliver onboarding trainings to ensure a seamless and values aligned experience for new hires.  

  • Maintain and update employment documents ensuring necessary files are stored in the appropriate locations. 

  • Monitor new hires enrolling in benefits and send them benefit cards when available.  

  • Maintain and track completion of onboarding checklists for new hires to ensure all steps are completed in monday.com.  

Other responsibilities  

  • Support the management of the People and Culture inbox and triage questions and emails to the appropriate team member for further response. Ensure inbox responses within 24 hours and provide timely updates to inquiries.  

  • Stay informed about changes to labor laws and HR best practices.  

  • Perform other duties as assigned by supervisor.  

QUALIFICATIONS

  • 2 years of human resources experience with a focus in recruiting and onboarding.  

  • Proven experience in HR support or administrative role. 

  • Client facing, customer service experience.   

  • Strong oral and written communication skills across multiple mediums.  

  • Dedication to excellent customer service.  

  • Excellent presentation and training skills are strongly preferred. 

  • Organized self-starter with detailed-oriented planning. 

  • Excellent interpersonal skills with the ability to communicate positively.  

  • Ability to manage priorities and meet deadlines.  

  • Ability to work in multiple systems and adapt through system changes.  

  • Experience with Deel, JazzHR, Microsoft Office Suite, and Monday.com preferred. 

SALARY & BENEFITS  

The salary for this position is $64,000 - $75,000 commensurate with experience.  This position is remote and a U.S. based role. The role will require domestic travel, as needed, including the Foundation’s retreats and in-person board meetings as necessary.  Generous benefits package that includes 100% employer-paid health insurance (medical, dental, and vision), 401k match, PTO and leave policies, professional development funds, and remote work stipend.
